Updated August 2026: pricing verified against vendor pages, with third-party estimates labeled (reported) where a vendor publishes no price.
The best employee communication software in 2026 depends on whether you're replacing Meta Workplace, trying to reach a frontline workforce that never checks email, or just tired of company news getting buried in a Slack channel nobody reads. Workvivo (now a Zoom product) leads this list as Meta's only official Workplace migration partner. Staffbase and Simpplr lead on enterprise depth for mixed desk-and-frontline organizations. Blink and Connecteam publish real per-user pricing instead of routing every visitor to a demo request. Rework earns its spot at #6 for a different reason: it puts announcements, the chat about them, the docs they reference, and the people directory on one login, instead of a fourth app bolted onto the stack.
This guide ranks 15 platforms: employee experience suites built for the post-Workplace exodus, frontline-first apps, AI-native intranets, and a couple of tools people default to for comms even though nobody purpose-built them for it (yes, that includes Slack). Tools are evaluated on pricing transparency, consolidation history, desk-versus-frontline reach, and fit by organization size, checked against vendor pages in August 2026. Most vendors here quote pricing per organization rather than publish it, and that's not a gap in this research, it's the market. Where a vendor won't say, this guide says so plainly, and any third-party estimate is labeled (reported).
Key Facts
- Global employee engagement fell to 20% in 2025, the lowest since 2020; Gallup estimates low engagement costs the world economy roughly $10 trillion in lost productivity, about 9% of global GDP. (Gallup, State of the Global Workplace)
- 63% of employees considering leaving their job cite poor internal communication as a contributing factor. (Staffbase, Employee Communication Impact Study)
- Non-desk and frontline employees are far less satisfied with internal communication than desk-based staff: 29% satisfied versus 47%. (Staffbase, Employee Communication Impact Study)
- Organizations on a unified internal communication platform report effectiveness scores 10 points higher than those on fragmented tools, per vendor-reported survey data. (Simpplr's 2026 State of Internal Communications Report, per Simpplr)
- Poor communication burns an estimated 10% to 30% of every work year, over 60 lost working days a year for an executive earning $200,000-plus. (Axios HQ, State of Internal Communications Report)

What Changed in Internal Comms Software in 2026
Three acquisitions and one shutdown reshaped this category in the past year, and a lot of listicles still haven't caught up.
Meta shut down Workplace: read-only from September 1, 2025, all data permanently deleted June 1, 2026. It's not a buyable option anymore, it's the event that pushed a huge chunk of this market to shop for a replacement all at once. Zoom's Workvivo was Meta's only preferred migration partner, the biggest reason it opens this list.
Beekeeper is now part of LumApps, acquired July 2, 2025; beekeeper.io now redirects to lumapps.com. The combined company is folding Beekeeper's frontline product into a "LumApps AI Employee Hub," a rollout LumApps says will take 12 to 18 months. Existing Beekeeper logins, data, contracts, and pricing keep working meanwhile.
Igloo Software is now part of Appspace, acquired September 11, 2025; igloosoftware.com now redirects to appspace.com.
Staffbase, notably, did not get acquired. It's still independent, still growing by acquisition itself (Bananatag for email, Valo Solutions for Microsoft 365 intranets), and opened a Middle East and Africa office with UAE data hosting in August 2026.
If you last looked at anything here in 2024, check who owns it before you shortlist it.
Employee Communication Software vs. Intranet Software
A few names here get lumped into "employee communication software" when what a buyer actually wants is a full intranet: a designed homepage, a page builder, document libraries, and publishing governance. Comms software and intranet software overlap a lot in 2026 (Staffbase, Simpplr, and LumApps sell both), but they're not the same purchase.
Communication software pushes a message out and measures who saw it: announcements, campaigns, read receipts, and increasingly an AI assistant drafting the update. An intranet is a destination: a branded homepage, searchable content, and a structure that outlives any single announcement.
If your real gap is a homepage and a document library, not a channel to push news through, see Best Intranet Software in 2026. If Staffbase and Workvivo are your actual shortlist, the direct Staffbase vs. Workvivo comparison is a faster read than this whole roundup.
1. Workvivo (Zoom): Meta's Official Workplace Migration Partner
Workvivo built its name as an employee experience platform combining a social-style activity feed, spaces, and people analytics, and Zoom's 2023 acquisition put video and comms under one roof. When Meta announced Workplace was shutting down, Workvivo became Meta's only named preferred migration partner, with dedicated tooling to import Workplace groups, posts, and files.
Workvivo does not publish pricing. Its plan structure covers Workvivo HQ as the core platform, Seer as a standalone or add-on people-intelligence layer, and add-ons for HQ Agent, Chat, and Workvivo TV; price depends on license count, and the vendor confirms it offers no free trial, only a demo.
| What you get | What you don't |
|---|---|
| Zoom's only official Meta Workplace migration partner | Published, self-serve pricing |
| A social-style activity feed built for large distributed teams | A free trial to test before you buy |
| Native tie-in with Zoom video and meetings | A budget option for a small team |
| Dedicated Workplace-to-Workvivo data import tooling | Frontline-first pricing as low as Blink or Connecteam |
Pricing: Quote-only across Workvivo HQ and the Seer, HQ Agent, Chat, and Workvivo TV add-ons. No free trial; demo only. Best for: Organizations migrating off Meta Workplace, or any large, distributed workforce wanting a Zoom-native comms and video combination. See Best Workvivo Alternatives if pricing or the no-trial policy rules it out, or Staffbase vs. Workvivo if Staffbase is the other name on your shortlist. Not ideal for: Buyers wanting a price before a sales call, or a free trial to test-drive first.
2. Staffbase: Enterprise Comms for Mixed Desk and Frontline Workforces
Staffbase built its reputation on reaching frontline and desk employees from one platform, then extended that reach through two acquisitions: Bananatag for email-based comms and Valo Solutions for a Microsoft 365 and SharePoint-native intranet layer. That's why enterprises with a large non-desk population (retail, manufacturing, logistics) keep shortlisting it alongside Workvivo for the post-Workplace shopping wave.
Staffbase does not publish pricing. Its page says plainly there's "no generic price list, because no two workforces look alike," and offers frontline-specific, mixed desk-plus-frontline, and enterprise multi-brand configuration pricing, with most teams getting a tailored proposal in three to five business days. Vendr's Staffbase buyer guide (last updated February 2026) reports a median buyer pays $28,544 per year, ranging $20,000 to $153,200 (reported).
| What you get | What you don't |
|---|---|
| Deepest frontline plus desk-employee reach in the category | Published, self-serve pricing |
| A Microsoft 365/SharePoint-native intranet option via Valo | A fast, self-serve evaluation |
| Email comms built in through the Bananatag acquisition | The lowest published entry price on this list |
| New UAE data hosting and a Middle East/Africa office (Aug 2026) | A flat rate that skips the sales conversation |
Pricing: Quote-only; reported median $28,544/year, range $20,000 to $153,200 (reported, per Vendr). Best for: Enterprises mixing desk and frontline employees, wanting one platform instead of separate email, intranet, and frontline-app tools. See Best Staffbase Alternatives if price or the sales-led process is the blocker. Not ideal for: Small teams wanting self-serve signup and a published price.
3. Simpplr: AI-Native Intranet and Comms for Larger Organizations
Simpplr built an AI virtual assistant into the core of its platform rather than adding one on top, so employees can ask a question and get an answer pulled from company content instead of searching through channels. Its own 2026 State of Internal Communications research (cited above) found unified-platform organizations score 10 points higher on communication effectiveness than fragmented ones, a finding it's positioned to benefit from, but the underlying pattern shows up across this whole category.
Simpplr is volume-priced and does not publish rates; its page notes discounted intranet pricing for organizations with 500-plus employees, positioning it away from smaller buyers by design.
| What you get | What you don't |
|---|---|
| AI virtual assistant search across company content | Published, self-serve pricing |
| Volume discounts built for larger employee counts | A strong fit for teams under 500 employees |
| A combined intranet-plus-comms product, not two tools | The frontline-app depth of Blink or Speakap |
| Annual State of Internal Communications benchmark research | A free trial |
Pricing: Quote-only, volume-based; discounted for 500-plus employee organizations. Best for: Mid-size to large organizations (500-plus employees) wanting AI-assisted search on top of an intranet and comms platform. See Best Simpplr Alternatives if the employee-count minimum doesn't fit. Not ideal for: Smaller organizations under roughly 500 employees, a different scale than the pricing and product depth target.
4. Firstup: Orchestrating One Message Across Every Existing Channel
Firstup's pitch is different from most names on this list: instead of asking employees to open one more app, it orchestrates a single message across the channels they already use (email, Slack, Teams, SMS, the intranet), with audience targeting and analytics on top. That's a real answer to a real problem: most large organizations already run three or four comms channels, not zero.
Firstup does not publish pricing. It's structured around named tiers, Essential, Professional, and Premier, plus an Employee Intranet add-on available on any of them, rather than a flat per-user rate.
| What you get | What you don't |
|---|---|
| Orchestration across email, Slack, Teams, SMS, and intranet | Published, self-serve pricing |
| Audience targeting and segmentation across channels | A single, simple tier structure |
| An intranet add-on for teams that also want a homepage | The lightest onboarding on this list |
| Analytics on message reach across every channel at once | A budget-friendly entry point |
Pricing: Quote-only across Essential, Professional, and Premier tiers, plus an Employee Intranet add-on. Best for: Large organizations that have already accumulated multiple comms channels and want one system orchestrating across all of them. Not ideal for: Smaller teams wanting a single, simple channel rather than an orchestration layer.
5. Blink: Published, Affordable Pricing for Frontline Teams
Blink is one of the few names here, alongside Rework, Connecteam, Microsoft Viva, and Slack, that actually publishes a per-user price. Core starts at $3.75/user/month billed annually ($5.60 monthly), and Pro runs $5.00/user/month annually ($7.00 monthly), adding events management, multi-language publishing, an AI assistant, and priority support. Enterprise is quote-only, with no stated minimum user count.
| What you get | What you don't |
|---|---|
| Published, self-serve pricing from $3.75/user/month | Staffbase or Simpplr-level enterprise governance depth |
| No minimum user count on published tiers | A deep post-signature or spend-analytics suite |
| AI assistant and multi-language publishing on Pro | The brand recognition of Workvivo or Staffbase |
| A fast, transparent evaluation without a sales call | Advocacy or digital-signage modules |
Pricing: Core $3.75/user/month billed annually ($5.60 monthly); Pro $5.00/user/month billed annually ($7.00 monthly); Enterprise custom quote. Best for: Frontline and deskless teams wanting transparent, affordable pricing without a sales negotiation or a minimum-seat floor. Not ideal for: Enterprises needing Staffbase or Simpplr-level governance and multi-brand configuration.
6. Rework: Comms on the Same Platform as Chat, Docs, and the People Directory
Rework's Townhall module handles company-wide announcements, living inside the same platform as Chat (internal team chat), Exchange (chat across companies), Square (internal Q&A), Docs, Meeting, and the HRIS people directory. An announcement, the conversation about it, the document it references, and the person it's about share one login, instead of a comms tool, a chat app, a wiki, and an HR system stitched together with integrations.
The pitch isn't a designed intranet homepage with governance over who can publish where. Rework doesn't have that yet: the Home module for a personal employee portal, plus Knowledge, Drive, Media, and Video Call, are not live as of this writing. What ships is company-wide comms sitting on the same record as the work itself, built for a mid-size company (roughly 20 to 200 people), consolidating logins rather than chasing intranet governance depth.
| What you get | What you don't |
|---|---|
| Townhall, Chat, Docs, and HRIS on one platform and login | A designed intranet homepage or page builder |
| No separate integration syncing comms, chat, and the people directory | Multi-brand publishing governance for a large enterprise |
| Packaged annual pricing, not per-message or per-seat comms fees | A dedicated frontline-only app like Blink or Speakap |
| Meeting intelligence and internal Q&A (Square) bundled in | A free or solo tier |
Pricing: Rework does not publish a price for Townhall. Pricing is quoted per organization; see rework.com/pricing for the published product lines, or ask the team for a Townhall quote. Best for: Mid-size companies (roughly 20 to 200 people) wanting company-wide comms, team chat, docs, and the people directory on one login instead of four separate tools. Rework's CRM side gets the same consolidation argument; see Best CRM Software. Not ideal for: Enterprises needing a designed intranet homepage with a page builder and granular publishing governance, frontline-only deployments needing a shift-worker app as the primary surface, or solo operators and teams under about 10 people.
7. Connecteam: Comms Bundled With Scheduling for Small Frontline Teams
Connecteam is built around frontline operations broadly: scheduling, time tracking, task management, and communication are separate "hubs" inside one app, so comms isn't the whole product, it's one of several jobs the app does well for a small deskless team.
Connecteam's Small Business plan is free for life for up to 10 users across all hubs. Past that, each hub is priced separately with the first 30 users included: Communications Hub Basic runs $29/month billed annually ($35 monthly) plus $0.50 per extra user, Advanced $49/month annually ($59 monthly) plus $1.50, and Expert $99/month annually ($119 monthly) plus $3.00. Enterprise is custom.
| What you get | What you don't |
|---|---|
| A free-for-life plan for up to 10 users, all hubs | A comms-first product; comms is one hub among several |
| Published, self-serve pricing across every tier | Enterprise-grade intranet or advocacy features |
| Communication bundled with scheduling and time tracking | A dedicated employee-experience feed like Workvivo |
| No sales call required to see real prices | Staffbase-level frontline reach at large scale |
Pricing: Free for up to 10 users (all hubs); Communications Hub Basic $29/month annually (30 users included, +$0.50/extra user), Advanced $49/month annually (+$1.50), Expert $99/month annually (+$3.00); Enterprise custom. Best for: Small-to-midsize frontline teams wanting comms, scheduling, and time tracking in one published-price app. Compare it against Best Connecteam Alternatives if scheduling matters more than comms. Not ideal for: Larger enterprises needing Staffbase or Simpplr-level comms depth as a standalone function.
8. LumApps (with Beekeeper): Enterprise Intranet Plus Frontline Reach, Mid-Merger
LumApps built its name as an AI-powered intranet, and its July 2025 acquisition of Beekeeper added a mobile-first frontline product to reach workers a traditional intranet never touches. The combined company is building a "LumApps AI Employee Hub," unifying both products over a rollout it says will take 12 to 18 months. Sign with Beekeeper today and your existing login, data, contract, and pricing keep working through that transition.
LumApps has no public pricing page; the /pricing URL on its own site returns a 404, and Beekeeper's pricing isn't independently published either. Everything here is quote-only.
| What you get | What you don't |
|---|---|
| An AI-powered intranet plus frontline reach in one roadmap | A public pricing page for either product |
| Existing Beekeeper contracts and logins honored through the merger | A finished, single unified product today |
| A combined company backed by roughly $1.1B in valuation | Clarity on pricing once the unification completes |
| Strong fit for large, distributed, desk-plus-frontline orgs | A fast, self-serve evaluation |
Pricing: Quote-only; no public pricing page for LumApps or Beekeeper. Best for: Large organizations wanting an AI-driven intranet and frontline reach from one vendor, and comfortable evaluating a product mid-integration. Not ideal for: Buyers wanting pricing clarity or a fully unified product before committing.
9. Microsoft Viva Employee Communications and Communities: The Cheapest Published Price Here
If you're already paying for Microsoft 365 enterprise plans, a company-branded destination via Viva Engage communities is already included at no extra cost. The SKU that matters for a dedicated internal-comms build-out is Viva Employee Communications and Communities, combining Viva Connections, Viva Engage, and Viva Amplify, at $2.00 per user per month paid yearly, the cheapest published per-seat price on this list.
Related add-ons: Workplace Analytics and Employee Feedback at $6.00/user/month, the full Viva Suite at $12.00, and standalone Viva Learning and Viva Insights add-ons at $4.00 each.
| What you get | What you don't |
|---|---|
| The cheapest published per-seat comms price on this list | A standalone product; needs the Microsoft 365 stack |
| Core Viva Engage included free with M365 enterprise plans | Frontline-first UX purpose-built for deskless workers |
| Native tie-in with Teams, SharePoint, and Outlook | The employee-experience polish of Workvivo or Staffbase |
| A published price with no sales call required | A path to value outside the Microsoft ecosystem |
Pricing: Viva Employee Communications and Communities $2.00/user/month paid yearly; Viva Suite $12.00/user/month; add-ons priced separately. Best for: Organizations already standardized on Microsoft 365 wanting comms functionality bundled into existing licensing at the lowest published rate in the category. Not ideal for: Organizations outside the Microsoft ecosystem, or frontline-heavy workforces needing a purpose-built deskless app.
10. ContactMonkey: Email-Native Comms With Real Analytics
ContactMonkey's angle is narrow and deliberate: internal comms built as an add-on to Outlook or Gmail, so comms teams send branded newsletters from the inbox they already live in, with open, click, and read-time tracking like an external marketing campaign.
ContactMonkey does not publish pricing. Its tiers are named Launch, Grow, and Enterprise, with add-ons available for Pages, external sending, an AI "Quality Agent," HRIS integrations, and SMS comms.
| What you get | What you don't |
|---|---|
| A native Outlook and Gmail email builder | Published, self-serve pricing |
| Real open, click, and read-time analytics on comms sends | A broader channel platform beyond email |
| An AI Quality Agent add-on for reviewing sends | Frontline app reach for non-desk employees |
| HRIS integration and SMS comms as add-ons | Intranet or homepage functionality |
Pricing: Quote-only across Launch, Grow, and Enterprise tiers, plus named add-ons. Best for: Comms teams whose primary channel is email, wanting real engagement analytics without leaving Outlook or Gmail. Not ideal for: Organizations needing a broader multi-channel platform or frontline-app reach beyond email.
11. Axios HQ: AI-Enforced "Smart Brevity" for Leadership Updates
Axios HQ's product is narrower and more opinionated than anything else on this list: an AI writing coach that pushes leaders toward Axios's own "smart brevity" format, short, scannable updates instead of long memos nobody finishes. Its own research (cited above) found poor communication burns 10% to 30% of every work year, over 60 lost working days annually for a $200,000-plus executive, the exact problem the product is built to shrink.
Axios HQ is quote-only, priced by message volume rather than by seat, and it's designed for companies with more than 50 employees across Essential, Advanced, and Premier tiers.
| What you get | What you don't |
|---|---|
| An AI writing coach enforcing concise, scannable updates | Published, self-serve pricing |
| Volume-based pricing tied to message count, not headcount | A broad channel platform beyond leadership updates |
| Purpose-built for CEO and leadership-level communication | A fit for organizations under 50 employees |
| Backed by Axios's own internal-comms research | Frontline-app reach or an intranet homepage |
Pricing: Quote-only, priced by message volume; requires 50-plus employees. Best for: Leadership teams and comms functions wanting to standardize on short, scannable updates instead of long memos. Not ideal for: Organizations under 50 employees, or teams needing a full channel platform rather than a writing-and-send tool.
12. Poppulo: Comms, Advocacy, and Digital Signage in One Suite
Poppulo spans four connected product tracks: Employee Communications, Employee Experience and Mobile App, Employee and Leadership Advocacy, and EX Digital Signage, the last a category most names here don't touch (screens in break rooms, warehouses, and retail locations on the same platform as email and app comms).
Poppulo does not publish pricing across any of its four tracks; everything is quote-only.
| What you get | What you don't |
|---|---|
| Digital signage bundled with comms, a rare combination | Published, self-serve pricing on any product track |
| Four connected products instead of point solutions | A lightweight option for a small comms team |
| Employee and leadership advocacy tooling built in | A fast, self-serve evaluation |
| Strong fit for retail, warehouse, and multi-location orgs | A single simple price to budget against |
Pricing: Quote-only across all four product tracks. Best for: Large, multi-location enterprises (retail, warehouse, manufacturing) wanting comms, advocacy, and digital signage on one platform. Not ideal for: Smaller teams, or anyone without a digital-signage need.
13. Haiilo: Employee Advocacy and Social-Style Engagement
Haiilo's strength is employee advocacy, giving employees an easy way to share company content on their own social channels, layered onto a social-intranet-style engagement feed. It's a different bet than the pure announcement-and-analytics tools here: the goal is amplification outside the company, not just reach inside it.
Haiilo's pricing page is one of the least transparent in this category. Our fetch returned a 403 error rather than any tier or price information, so treat it as fully quote-only and don't trust a third-party number attributed to it.
| What you get | What you don't |
|---|---|
| Strong employee advocacy and social-sharing tooling | Any public pricing information at all |
| A social-intranet-style engagement feed | A published tier structure to even estimate from |
| A distinct amplification angle other tools don't cover | Frontline-first UX for deskless workforces |
| Content curation built for internal thought-leadership | A fast, self-serve evaluation |
Pricing: Fully quote-only; no public pricing page or tier information is available. Best for: Organizations wanting to turn employees into external brand advocates, not just reach them internally. Not ideal for: Buyers wanting any pricing signal upfront, or teams prioritizing frontline reach over advocacy.
14. Speakap: Purpose-Built for Frontline and Non-Desk Engagement
Speakap focuses on deskless and frontline employees (retail, hospitality, logistics, manufacturing) with a mobile-first product and a customer base weighted toward Europe: one workforce segment, done deeply, rather than covering desk and frontline both.
Speakap does not publish pricing; its tiers are named Basic, Premium, and Premium Plus, with no rates shown publicly.
| What you get | What you don't |
|---|---|
| Purpose-built mobile-first UX for deskless workforces | Published, self-serve pricing |
| Strong presence and localization for European organizations | Staffbase or Firstup-level brand recognition in North America |
| Three named tiers to frame a scoping conversation | Digital signage, advocacy, or intranet-homepage features |
| A focused product, not a sprawling suite | A free trial |
Pricing: Quote-only across Basic, Premium, and Premium Plus tiers. Best for: Frontline and deskless-heavy organizations, particularly in Europe, wanting a focused mobile comms app rather than a broad suite. Not ideal for: North American enterprises wanting Staffbase or Workvivo's brand recognition, or teams needing signage or advocacy modules.
15. Slack: Everyone Already Has It, Nobody Built It for This
Slack isn't purpose-built employee communication software, and it shouldn't be mistaken for one. It's team chat that a huge number of companies default to for company-wide announcements anyway, because it's already installed and everyone already has a login. That default is worth naming honestly: channels get noisy, there's no read-confirmation or targeting depth, and a #general post competes with every other message in someone's sidebar.
Slack's pricing is published and simple: Free ($0, 90-day message history, up to 10 app integrations), Pro at $7.25 per user per month billed annually ($8.75 billed monthly), Business+ at $15 per user per month billed annually ($18 billed monthly), and Enterprise+ quote-only.
| What you get | What you don't |
|---|---|
| Published, transparent pricing from $0 | Read receipts or targeted-audience comms tooling |
| A tool employees already have open all day | A dedicated announcement channel that cuts through chat noise |
| Fast, familiar, zero learning curve | Analytics on who actually read a company update |
| A free tier for very small teams | Frontline reach for employees without a Slack seat |
Pricing: Free; Pro $7.25/user/month billed annually ($8.75 monthly); Business+ $15/user/month billed annually ($18 monthly); Enterprise+ custom. Best for: Small teams and startups wanting updates to live in the same tool as daily work chat, with no new login to manage. Not ideal for: Organizations sending updates to frontline staff without Slack seats, or comms teams needing read analytics. See Best Slack Alternatives if chat itself is the real gap.
How to Choose: Decision Framework
Software only fixes half of this problem; see what business culture actually is and why teams stay silent in meetings for the human half.
| If your team needs... | Best pick |
|---|---|
| To replace Meta Workplace with vendor-guided migration | Workvivo |
| Enterprise comms across a mixed desk and frontline workforce | Staffbase |
| AI-assisted intranet search for 500+ employees | Simpplr |
| One message orchestrated across many existing channels | Firstup |
| Affordable, published per-user pricing for a deskless team | Blink |
| Comms, chat, docs, and HR on one login for a mid-size company | Rework |
| Comms bundled with scheduling for a small frontline team | Connecteam |
| The cheapest path if already paying for Microsoft 365 | Microsoft Viva |
| Concise, AI-enforced leadership updates | Axios HQ |
| Real open and click analytics on email-based comms | ContactMonkey |
What to Do Next
Start with whichever row in the decision framework matches your actual constraint, migration off Workplace, a mixed desk-and-frontline workforce, or a budget needing a published price today, and run your top two picks against a real announcement, not a sandbox demo. If your real problem is that comms, chat, docs, and the people directory live in three separate logins rather than a gap in dedicated comms depth, start with Rework's Townhall module and compare it against a frontline-first pick like Blink or Staffbase before signing a multi-year contract.
