Company Overview

Laurea People's Signature is an award-winning B2B digital marketing agency based in Cyberjaya, Malaysia. Founded in 2018, the company, with approximately 20 employees working primarily remotely (only 3 employees work in-office), has evolved to offer comprehensive martech solutions, including web development, digital marketing, branding, and IT support services.

With over 3,000 clients and 5,000 successful projects completed, Laurea People's Signature has built a reputation for delivering results that go beyond visibility to help businesses thrive by leveraging the power of data analytics, audience engagement, and storytelling to create compelling brand narratives.

Laurea People's Signature now manages around 20 active projects simultaneously, with projects typically following a two-month delivery timeline.

The Challenge: Managing Growth Without Losing Control

Despite their success and rapid growth, Laurea People's Signature faced significant operational challenges that threatened their ability to deliver on promises made to clients. Nisha Meng Ming Li, LPS’s CEO and also the only salesperson of the company, was most painful about this, as she was the one facing clients while still having the management burden on her shoulders.

Project Timeline and Progress Tracking

The company struggled with losing track of project timelines and wasting valuable initial weeks without clear progress monitoring. The team was managing everything through Skype, which made it difficult to maintain oversight of project progress.

“The biggest challenge for me is forgetting things. We take in an order, we know the project has a two-month timeline, and we plan week one, week two, week three… but when we actually reach week three, we suddenly realise: Oh my God, we’ve already lost three weeks because we were busy with other work. We don’t have the right system to keep everything on track.”,

The lack of a centralized project tracking system meant that critical project information wasn't visible to all team members who needed it. They once evolved into using a project management app called Infinity for 4-5 years, but found these solutions weren't comfortable to use and had become outdated and ineffective for their growing needs.

Nisha emphasized that they needed a place where everyone involved in a project could see updates and progress, so that she can see for herself the workload of each team member.

Workflow Management and Cross-Department Visibility

The second major challenge involved coordination between different departments during project execution. Soumya Ganguly, Associate Web Developer, explained that when one department was working on a project, other departments involved in content writing or graphic design couldn't see the progress of each other's work. This lack of visibility was particularly problematic for the IT department, which comes in at the final stages after all other departments have completed their work, making deliverables difficult to manage on schedule.

This also created a blame culture that affected team morale, creating an unhappy work environment. "So far, we're very understanding here – we know what's lacking and how we need to improve – but at the end of the day, we need a permanent solution”, shared Nisha.

The Solution: Structured Workflows with Rework

To address these connected problems, Laurea People's Signature implemented Rework Flows as their primary solution, focusing initially on standardizing their website development workflow as a foundation for broader operational improvements.

Rework Flows enabled the company to create a structured, eight-stage website development process that provided clear visibility and accountability at each step:

  1. Requirements Gathering - Systematic collection of client requirements, creation of analysis documents, and project quotation preparation
  2. Concept and Design - Branding development, logo creation, and iterative design processes with built-in client feedback loops
  3. Content Creation - Landing page development, copywriting, CTA design, and website structure planning
  4. Website Design - Technical design implementation with review and approval workflows
  5. Website Development - WordPress implementation and technical configuration
  6. Deployment - Domain setup, DNS configuration, hosting upload, and API key management
  7. Documentation and Handover - Warranty agreement preparation, client training, and project handover
  8. Billing and Collection - Invoice generation, payment collection, and receipt management

Each stage includes specific task assignments, deadlines, and dependencies, ensuring that team members across departments know exactly what needs to be done and when.

Rework Flows addressed the interdepartmental coordination issues by providing real-time progress tracking across all departments. The platform allows each team member to see the status of work in other departments, eliminating the guesswork that previously led to delays and conflicts.

The solution also integrates task assignment capabilities, making it clear who is responsible for what at any given time. This transparency helps prevent the frustrating situations the CEO had described, where she couldn't easily see what team members were working on for specific customers or how long designers were taking to complete their tasks.

From here, the team gradually apply the structured process on Rework Flows to branding campaigns, digital marketing projects, IT support services, and even HR processes.

The new system made a significant difference across the company. With all workflow stages clearly defined and tracked, the team gained the structure they had been seeking for years.

Nisha captured the transformation well: "Rework rescued us from the madness of scattered updates and missed deadlines. It's like our team finally got a brain upgrade!"

Looking Forward

The success of the initial website development workflow has provided Laurea People's Signature with a proven template that they can adapt for their full range of services.

As the company continues to grow and take on more projects, the structured workflow system positions them to scale efficiently while maintaining the high-quality service standards that have earned them industry recognition and client satisfaction.
