Coerpa Builders Corp is a 14-year-old architectural finishing company specializing in exterior insulation finishing systems (EIFS) in the Philippines. Founded in 2010, the company operates with a focused team of 30 employees, including 8 administrative staff and multiple engineering teams.
The company produces and installs architectural finishes with a particular focus on advanced building materials for wall cladding and design. Coerpa handles complex, large-scale projects - currently managing three major installations that can require up to 80,000 pieces of moldings for a single project. Their operations span multiple departments, including technical, sales, administrative, production, and accounting teams.
What sets Coerpa apart is their strategic approach to growth and efficiency. As CEO Paul Andrew Tumulak explains their philosophy: "We want to treat 20 employees who can do 100 people’s work. We want to extend their talent and their capabilities. And also, we have a principle that we need to have the right tool for the right job."
The Challenge: Manual Operations Creating Growth Barriers
Despite their success in handling complex architectural projects, Coerpa's growth was held back by completely manual processes that created visibility gaps and coordination challenges across their expanding portfolio.
Complete System Absence
Coerpa operated entirely through manual processes across all critical business functions. Paul Andrew Tumulak, CEO, was direct about their situation: "Actually, we don't have any system, we always do a manual system when it comes to analyzing our stocks, our inventory projecting, our projects income, and also the productivity of our personnel."
This lack of systematic approach created significant blind spots, making it difficult to track inventory levels, project profitability, and team productivity across their growing portfolio of complex projects.
Task Management Without Prioritization
The company relied on Google Sheets for basic task tracking, but this approach failed to provide meaningful project oversight. "We have our own Google Sheets. We usually do a daily task report where each of our core team reports their daily activity, but that's it. It’s just some to-do list, and we can’t understand which is the priority or the urgent one", Tumulak explained.
This system provided activity logs but no clear insight into workload management or deadline prioritization across multiple projects happening at the same time.
Communication Information Loss
The problem wasn't just task tracking. Team communication happened mainly through Viber, creating serious information management problems. "The problem is that Viber is a chat platform. It's very easy to miss out the information," Tumulak described.
Critical project decisions and updates were getting lost in conversation threads, creating risks for project coordination and team alignment.
Financial Tracking Gaps
The problems also affected financial oversight. Billing and collection processes lacked systematic tracking. "We don't have any system right now for that. We just do it manually, or our admins do they have their own Excel file or monitor the billings," Tumulak noted.
This manual approach made it difficult to track cash flow, project profitability, and payment schedules across multiple ongoing installations.
The Solution: Digital Operations Management
To fix these connected problems, Coerpa put in place Rework's platform, which gave them solutions for each challenge while making everything work together seamlessly.
Structured Request Management with Rework Request
Rework Request replaced their informal communication system with structured request processing. The platform handles multiple request types including purchasing requests, sales discount approvals, HR absence requests, travel reimbursements, and logistical coordination.
Each request type features customizable forms with specific input fields and document attachment capabilities, ensuring all necessary information is captured upfront. This got rid of the information loss problems they had with chat-based communication.
End-to-End Procurement Workflow with Rework Flows
Along with structured requests, Rework Flows changed their procurement from an ad-hoc manual process into a complete workflow system. Staff can now create detailed material purchase requests specifying project requirements, items, and quantities.
The system includes configurable approval paths - for example, requests over 100,000 PHP automatically route to CEO approval, while smaller purchases follow simpler departmental approval. Once approved, the system automatically generates procurement tickets with all request details and notifies the purchasing manager.
The platform includes a built-in supplier database for vendor management and contact information, plus Service Level Agreement tracking with color-coded ticket systems and automatic reminders for delayed tasks.
Reporting and Analytics
Rework's reporting capabilities address their previous blind spots in business intelligence. The system generates project-level reports showing budget versus actual costs and billing status, plus financial reports covering year-to-date revenue, cash flow analysis, and expense categorization.
Performance tracking includes staff workload monitoring, on-time completion percentages, and individual productivity analysis. Process efficiency reports break down stage-by-stage analysis, comparing actual versus expected timeframes for each workflow step.
Implementation and Results
The new system has made a big difference across all areas of Coerpa's operations. The mobile app functionality enables real-time project oversight and approval workflows from any location, supporting their multi-site project management needs. Paul Andrew Tumulak highlighted the documentation benefits: "What I like about this is, it's very well documented. We can see the process. We can see the person who's involved, we can see their delays."
The platform has also helped with Coerpa's growth plans. "We are preparing for a bigger system because sometimes we have to back-read everything. So all of our members or employees would be aware of what's happening," Tumulak explained. This systematic approach has replaced their previous reliance on scattered Excel files and chat-based communication with centralized, trackable processes.
"As we prepared for our breakthrough, our company needed a system that would help maintain our momentum for a big change.
